We are looking for an organized, proactive, and customer-focused individual to join our team as Private Client Sales Support. This role is central to ensuring smooth operations and supporting both our internal teams and our valued customers.
Key Responsibilities
As Private Client Sales Support, you will play a pivotal role in streamlining operations and providing exemplary customer and team support. Your responsibilities will include:
Administrative Support:
- Preparing and assisting with quotations for the sales team.
- Following up on stock arrivals and updating the sales teams promptly.
- Coordinating with our sister company, Coterie Vaults, and delivery companies to address customer queries effectively.
- Managing customer reserve landings and liaising with in house Finance team to resolve account-related inquiries.
Customer Support:
- Maintaining and updating the CRM system with accurate customer data.
- Managing and triaging sales-related queries with a customer-first approach.
- Handling new customer inquiries, adding their details to the database, and facilitating onboarding processes.
- Supporting the sales team during events, ensuring all customer needs are met.
Data Preparation:
- Preparing data sets to assist the sales team ahead of offers and campaigns.
- Collaborating with the marketing team to organize data for tastings, dinners, and masterclasses.
Sales & Order Support:
- Processing orders efficiently and ensuring smooth communication throughout the sales process.
- Assisting the marketing team in organizing samples for sales-related activities and events.
- Responding to customer enquiries during the sales process, from order placement to fulfilment.
- Participating in weekly rota duties and assisting with special orders and notes.

Organizational Skills: Strong organizational skills and a passion for delivering exceptional service.
Communication: Exceptional communication and organizational abilities, with the capability to manage multiple projects and activities.
Attention to Detail: High level of attention to detail and accuracy in all tasks.
Tech-Savvy: Proficiency in Microsoft Office, particularly Excel.
Data Analytics: Strong technical skills to manage data and CRM systems. Excellent data analysis skills to interpret and prepare reports for the team.
Customer Centric: Customer relationship experience aiming to provide high-quality service and support at each stage of the customer journey.
Self-Starter: Ability to work independently and collaboratively with superb communication skills, both internally and externally.
Desirable Qualifications
- A WSET qualification and a good understanding of wine.
